About The Role

We are seeking a highly motivated and experienced People and Culture Team Manager to join our dynamic and supportive team. In this role, you will be responsible for the day-to-day operational management of the team to ensure that all aspects of school recruitment, orientation, induction, retention, welfare, staff development and exit are professionally managed.  
 
Accountability

Executive Director of People and Culture 

Main Responsibilities, Tasks and Duties:

Recruitment

 
Providing oversight of the recruitment lifecycle for all staff appointments, as well as providing hands on support with recruitment as needed. This includes oversight and responsibility for ensuring:
 
  • Effective recruitment materials including job descriptions, person specifications, candidate packs and advertisements are handled professionally and in a timely manner
  • The interview process is well managed, including oversight of any travel and hotel arrangements, preparation of interview documentation and effective communication with all stakeholders involved
  • Support for any Recruitment Fairs/Open House events
  • Single Central Records are managed effectively via BIPO
  • Upon appointment of staff, all background checks, references, on-line presence checks, employee details and records are in place
  • The teacher qualifications assessment and teacher registration process is managed in accordance with the HK Education Bureau and Employee Ordinance
Onboarding
 
Providing support to induction and onboarding of all new staff including:
 
  • Provision of Visas, flights and serviced accommodation to new teaching staff and dependants as appropriate
  • Induction planning and programme arrangements for all staff including support to the annual Induction/Inset and Start-Up week preparations
Offboarding
 
Ensure the process is effectively managed by the team including:
 
  • Acknowledgement of resignations are responded to in a timely manner
  • Exit interviews are organised in a timely manner for the Executive Director of People and Culture to undertake
  • All systems, processes and documentation are completed prior to staff exit including return of access cards and IT equipment
Staff Employment and Performance related matters

Provide support and guidance to any staff employment policy related matters including:

  • Capability and performance related issues
  • Monitoring of staff absence and follow-up where the Bradford Score indicates there may be issues, informing the relevant Head of School and Executive Director of People and Culture where there are specific areas of concern
  • Wellbeing and welfare areas of concern
  • Maternity and Paternity leave
Other Team Responsibilities

Ensure the following responsibilities are effectively carried out and regularly reviewed including:
 
  • Monitoring of staff tap in/tap out processes ensuring these are adhered to
  • Support to requests for surveys, analysis, reports etc
  • Performance development reviews of line reports
  • The maintenance of the school evacuation lists 
  • All staff personnel files, both physical and digital are kept up to date
  • Provision of a full school travel service
  • Oversight of possible process improvements to enhance efficiency
General Duties

Promote the values and aims of the school 
Adhere to all school policies in relation to Staff Code of Conduct, Health and Safety, Staff Attendance, Dress Code etc. 
Comply with any reasonable request from a manager to undertake work of a similar level that is not specified in this job description. 
Participate in, and demonstrate continuous commitment to the annual review, quality assurance and performance development cycle. 
Participate in school-wide INSET initiatives. 
Seek opportunities that may arise from the professional development process. 
Take full responsibility for areas that may be reviewed in a full school audit or an inspection. 
Attend team and staff meetings. 
Undertake professional duties that may be reasonably assigned by the School Leadership Team

About You

Requirements
  • Experience of working in HR/People teams in an educational setting
  • Proven track record of managing teams
  • Excellent spoken and written English 
  • Good understanding of MS 365 applications
  • Ability to develop positive co-operative relationships with others
  • A relevant qualification in Human Resources (or working towards a qualification) 
  • Good understanding of employment legislation in both Hong Kong and UK
  • Demonstrable experience of advising on HR related issues with a strong team working, relationship building and service focus
  • Warm and engaging communication style with the ability to communicate in a clear and concise manner and maintain confidentiality
  • Confident in management of employee relations cases with ability to recognise key risks and provide advice to line managers
  • Proven ability to prioritise conflicting priorities, exercise sound judgement, anticipate issues, create innovative solutions, and respond quickly to emerging people matter
  • Strong analytical skills and attention to detail
  • Interest in and commitment to advancing the organisational equality and inclusion agenda.
  • Display warmth, empathy, care, and sensitivity
  • Well organised and able to manage own workload effectively and flexibly.
  • Highly motivated and driven to succeed.
