About The Role

Responsible for the efficient administration and coordination of all aspects of the school bus service for the Pok Fu Lam Campus and for providing general admin support to the team.

Role Requirements
  • Act as the Coordinator for all daily aspects of the student school bus service, including being present and visible to monitor the arrival and departure of all school buses and liaising as required with staff, parents, and the school bus service provider’s staff (especially Bus Monitors).
  • Act as a first point of reference / liaison for enquiries to the school regarding the bus service and where appropriate and necessary refer to the Assistant Head of School/Deputy Head of School and/or Director of Finance & Operations.
  • Deal with all correspondence regarding the school bus service and action in the first instance referring to the Assistant Head of School/Deputy Head of School and/or Director of Finance & Operations where appropriate.
  • Using the on-line Schoolsbuddy system to set up, prepare and maintain daily bus registers in duplicate (for teachers and bus monitors).
  • Organise, administer, and coordinate all bus notes and input into the Schoolsbuddy/ISAMS systems as required and ensure school colleagues have copies of all bus correspondence as necessary.
  • Ensure that directives related to school buses/transportation issued by the Education Bureau / Hong Kong Government and/or Hong Kong Observatory are acted upon as directed (note this includes being the main contact point in the early/late hours in cases of adverse weather).
  • Arrange as directed bus/transport arrangements for other school/student use including sports, activities, local excursion, etc.
  • Review annually in consultation with the Assistant Head of School/Deputy Head of School/Director of Finance and Operations and the school bus provider the established bus routes serving the Campus.
  • Planning and provision of car parking space for staff, board members or any authorised users according to the availability at PFL.
  • Provide general administration support in relation to other tasks including front desk cover, telephone answering, ad hoc assignments, etc. during breaks and bus operations down-time.
  • Use Kellett School resources and equipment (incl. email, computers, etc.) judiciously and ensure confidentiality / data privacy is protected for students, staff, school management and parents at all times.
  • Comply with health and safety arrangements and draw to the attention of the Health & Safety Co-ordinator any deficiencies or risks.
  • Be willing to work flexibly to cover and assist other team members in cases of sickness, holidays, peak times and/or at school events throughout the year as required.
  • Promote a positive image of Kellett School in the immediate and wider community at all times.
  • Undertake any other duties that may be requested to ensure the smooth function of the campus.

  • Proficiency in MS Word and Excel including mail merge and spreadsheets
  • Strong interpersonal skills and attention to detail
  • Independent, competent to work under pressure

  • Have a proactive working attitude, result orientated

Terms and Conditions

 Base:   Pok Fu Lam Campus
 Working times:  7.30am to 3.30pm, Monday to Friday, term time only (plus 10 flexi-days)
 Contract Tenure Options:
 Full Time
