About The Role

Responsible for the efficient administration and coordination of all aspects of the school bus service for the Kowloon Bay Campus and for providing general admin support to the Activities & Partnerships team.

Role Requirements
  • Act as the Coordinator for all daily aspects of the student school bus service, including being present and visible to monitor the departure of all regular school buses and liaising as required with staff, parents, and the school bus service provider.
  • Act as a first point of reference / liaison for enquiries to the school regarding the bus service and where appropriate and necessary refer to the Senior Administrator - Activities & Partnerships and/or School Leadership colleagues with Bus responsbilities.
  • Deal with all correspondence regarding the school bus service and action in the first instance referring to the Senior Administrator - Activities & Partnerships and/or School Leadership colleagues with Bus responsbilities where appropriate.
  • Using the on-line Schoolsbuddy system to set up, prepare and maintain accurate daily bus registers in duplicate for teachers and bus monitors.
  • Organise, administer, and coordinate all bus notes and input into the Schoolsbuddy system as required and ensure Bus Teachers are kept updated accordingly (online or by email).
  • Arrange as directed bus/transport arrangements for other school/student use including sports, activities, local excursion, etc. In addition, arrange bus/transport arrangements for new teaching staff induction activities and staff events as directed.
  • Arrange external venue bookings for sports and activities off-site, through the appropriate channels (generally HK Government's LCSD by email and/or portal/app).
  • Ensure that directives related to school buses/transportation issued by the Education Bureau / Hong Kong Government and/or Hong Kong Observatory are acted upon as directed (note this includes being the main contact point in the early/late hours in cases of adverse weather).
  • Review annually in consultation with the Senior Administrator - Activities & Partnerships and Executive Director of Finance & Operations, the standard of bus service provided and bus routes serving the Campus.
  • Provide general administration support in relation to other Activities & Partnerships tasks including telephone answering, bookings, ad hoc assignments, etc. during bus operations down-time.
  • Use Kellett School resources and equipment (incl. email, computers, etc.) judiciously and ensure confidentiality / data privacy is protected for students, staff, school management and parents at all times.
  • Comply with health and safety arrangements and draw to the attention of the Health & Safety Co-ordinator any deficiencies or risks.
  • Be willing to work flexibly to cover and assist other team members in cases of sickness, holidays, peak times and/or at school events throughout the year as required.
  • Promote a positive image of Kellett School in the immediate and wider community at all times.
  • Undertake any other duties that may be requested to ensure the smooth function of the campus.

About You

  • Excellent command of written and spoken English and Cantonese
  • Proficiency in MS Word and Excel including mail merge and spreadsheets and a willingness to learn and work with new systems (Schoolsbuddy)
  • Strong interpersonal skills and attention to detail
  • Independent, competent to work under pressure
  • Team player with the ability to multi task
  • Have a proactive working attitude, result orientated
  • Punctual with Good time management skills
Terms and Conditions

Base:                               Kowloon Bay Campus
Working times:                     10.00am to 6.00pm, Monday to Friday, term time only (plus 10 flexi-days)
Contract Tenure Options:           Full Time
Medical Insurance:                 Provided
